Centennial Vaccination Clinic (CVC) serves children under six years old. CVC has hired you to improve their Appointment Booking Process. You first needed to understand the Current State before determining a solution with CVC stakeholders.
You developed the Current State models, and you were individually provided feedback on your submission.
Current State: The Appointment Booking Process has been very time-consuming. The practice consists of one Nurse and one Receptionist. The Receptionist is very busy, so CVC had hired two temporary staff members to help the Receptionist. With three people involved, there have been communication issues, and there have also been many mistakes, including double booking.
Future State:Future State Models to review with the project sponsor. The sponsor is the owner of the salon. These Future State Models will then be used to communicate with the developers, train the employees, and share the new process with parents who book appointments.
You and the team are proposing a solution to robust and consistent appointment booking process. The benefit of this new process includes eliminating one of the two additional staff and eliminating the double booking of appointments. The Receptionist will no longer have any work associated with the booking process. The implementation costs will be the development, staff training, and customer communication. Below is a summary that you will use as a basis to create your Future State models for your proposal:
- Parents of clients can make requests for appointments, requests for changes, or requests to cancel appointments. They will do so by using a request form (not automated)
- The staff member will be called: Appt. Clerk
- The hand-written Whiteboard has been replaced with an automated schedule
- The Nurse can input schedule details, such as what days the Nurse is available and not available, into the automated schedule
- The Nurse and the Appt. Clerkcan see the status of the schedule and can print out hard copies of the schedule
- The Appt. Clerk can make changes to the automated schedule and book, change, or cancel appointments
- When an appointment is booked, a confirmation email or confirmation text message is automatically sent to the Parent. The Parent then needs to respond to the message to automatically confirm the booking. If they do not, they will lose the booking. This loss will result in the appt. status will be changed to "open".
- This new appt. booking process is for existing clients only. Manual processes are needed to register new clients.
- Appointment reminders will be sent automatically to the Parent by text or email. The Parent then needs to respond by text or email to automatically confirm the appointment booking. If they do not, they will lose the booking. This loss will result in the appt. status being changed to "open".
- Appt status will include but is not limited to open, booked (unconfirmed), and booked (confirmed)
- Context Diagram (DFD Level 0): Scope of Future State
- Requirements of the New Solution (Future State) The template is provided. Use one or both of the formats.
- Six unambiguous requirements. Do not re-list the processes!!!
- Rank these requirements (use High, Medium, Low). Have a column that can provide this information.
- Add the rationale to each requirement (from a business perspective). Have a column for rationale, be concise.
- Each requirement must be measurable, testable, unambiguous, clear, and concise.
- Class Diagram (Future State) showing all the entities/stakeholders/adjacent systems/actors etc....with the relationships and multiplicities (cardinalities) between them
- Diagram: with a primary key and a list of attributes for each class (on the diagram). An attribute is something that is tracked by the system/process. E.g., Address, Phone #, Credit Card, delivery preferences....this will depend on the Class itself.
- Flow chart (Future State Process) using swim lanes
- The flow chart must be traceable to the requirements and aligned with other diagrams.
- Use at the minimum start, end, process, and decision symbols. You are required to use the provided legend and symbols.
