Globex Corporation was founded in 2019 during the merging of two large regional business, Riverina Precision Farming, and B T & Sons Farming Equipment. Globex Corp is primarily located in the Riverina Region of NSW and has three locations, Albury, Griffith and Wagga Wagga. Within Globex there are two arms to the business, each of which is represented at each location.

The Globex Farming Equipment head office is located in Wagga Wagga, while the Globex Precision Farming head office is located in Griffith. Parts and Services for both arms as well as administration support are coordinated from the Albury office. We have recently opened a new office at Orange so that we can better service the Central West and meet the needs of the many Stud Farms in the region.

Online Asset Management System (OAMS)

Background

Globex has been marketing farming equipment through their authorized dealers (Clients) since 2013.

It has a number sales departments and warehouses located in four regional areas in NSW: Albury, Wagga Wagga, Orange and Griffith. Currently the admin team receive bookings for company car and equipment hire, and new equipment for staff via phone and email. These details are then recorded using pre-designed hard copy forms or spreadsheets after checking the availability of requested cars and equipment. The sales department also arranges purchases of any equipment for staff from these forms and spreadsheets. Currently all the activities are done manually.

To improve the efficiency and accuracy of the existing manual systems, Globex has decided to invest in the development of an Online Assest Management System (OAMS). As such, based on their long-standing relationship, Globex has contracted Virtucon to develop the required system.

Project Description

Globex is a long-standing client of Virtucon. Therefore, Globex has contracted Vitucon to project manage the development of an Online Asset Management System (OAMS).

An Online Asset Management System (OAMS) will replace current manual systems. The system will allow staff to book the use of assets such as company cars, and order new equipment online.

Staff make their requests by calling or emailing the admin team, who check availability and details of current assets before recording them in a spreadsheet. If a request for a new piece of equipment is deemed appropriate, it is passed on to the sales department. This current process is unsustainable, open to error and double handling of information. Therefore, the decision has been made to invest in an Online Asset Management System, so that staff can book, order, keep track of and depreciate assets online.

The proposed system should enable staff to make orders and bookings from any online platform and mobile device through the OAMS. Staff details, equipment details, any payments and a range of reports should be generated by the system. Staff should still have the option to call the admin team and make a booking over the phone if the need arises. It is expected, however, that the ability of managing the asset requests will significantly reduce error, such as double-booking equipment and purchasing equipment unnecessarily, as well as administration and involvement of the Sales manager/personnel.

Globex has decided to automate the following information services:

  • Current Asset information
  • Daily/Weekly/Monthly booking information
  • Asset maintenance and associated costs details
  • Asset Order information
  • Asset Order Information based on order number and date
  • Monthly Asset purchase information
  • Annual Asset depreciation information

Globex has also identified a number of reports should be generated, which includes, but is not limited to:

  • Details of Assets by site location
  • List of new Assets ordered.
  • List of Assets due for standard maintenance
  • Tracking of Asset hire, usage, depreciation

Globex has also requested that:

  • A cost estimate and budget be prepared for the cost of the system development and implementation
  • Barcodes or RF codes are used on equipment

  • Part One to Part Six below
  • Project description and overview of the project

Part One:

Define Scope and produce a Scope Management Plan

Define the scope of the project and detail how the scope will be managed. You should also provide the MOV (The Measurable Organizational Value) and your scope should align with your MOV.

Part Four:

Quality Management Plan.

Develop 3 – 5 quality standards based upon your analysis of the project’s stakeholder requirements.

Part Five:

List and justify the monitoring and controlling tools and activities you will implement to determine the project’s progress and success.

Part Six:

Develop a closure checklist that the project team will use to ensure that the project has been closed properly.

This assessment task will assess the following learning outcome/s:
