Green Apple Pharmacy

You have been assigned the task of requirements determination for the Green Apple Pharmacy project. You are looking forward to this opportunity because it will allow you to meet and interact with the Green Apple Pharmacy employees. Besides interviewing Jasmin, you decide to collect information from the Green Apples accountant, pharmacy assistants and customers. The accountant helps Jasmin keep track of inventory records, financial records and sales reports, while pharmacy assistants usually keep track of product organization, interacting with customers and helping out with various tasks around the pharmacy.

You will formally interview Jasmin and perhaps observe her performing her daily management tasks. You decide that the best way to collect requirements from the accountant and assistants is to interview and observe them. You realize that discussing the order-taking process with the Green Apple Pharmacy employees and then observing them in action will provide you with a better idea of where potential system improvements can be made. You also decide to prepare a questionnaire to distribute to Green Apple customers. Because Green Apple has a large customer base, it would be impossible to interview every customer; therefore, you feel that a customer satisfaction survey will suffice.

The Green Apple Pharmacy

As a Lead Analyst on the Green Apple Pharmacy project, you have spent significant time discussing the current and future needs of the pharmacy with Jasmin.

Jasmin envisions a delivery system operating as follows. When a customer logs into the system online and places a delivery order, the request gets stored in an Orders datastore. The Orders datastore captures data details customer id number, order placement time, items ordered, and amount of sale. The online system also contains a datastore for Customers, that records information about the customer such as id number, name, phone number, age, address, etc.

The system then checks to see if the product requested is in stock. If it is, the customer is billed, and upon payment confirmation, a pharmacy assistant is alerted and they set about preparing and packaging the product for delivery. The product is then sent for delivery with a delivery employee. Inventory records are updated.

The Green Apple pharmacy also allows for walk-in customers. When a customer enters the pharmacy, they may request a product from the assistants, whom will find and prepare it. The customer may also request additional information, like potential side effects or interactions with other medications. The assistant can answer the customer with quick facts by checking the details of the product on the system. If the customer choses to purchase, they are billed. The payment is confirmed, and the order (with a bar code for each product), is updated on the system. Inventory records are also updated.

At the end of each day, a sales report is automatically generated.

She went on to work as a pharmacist in a commercial outlet, but has always dreamed of owning her own pharmacy, and doing things her way. After some years of saving money, and with the help of a bank loan, she was able to open her own pharmacy. She called it the "Green Apple Pharmacy'. The Green Apple Pharmacy is moderately sized, but Jasmin was determined to make it very modern and cutting edge. Currently, all paperwork is done by hand. Jasmin wants to investigate how she can benefit from an information system. She plans on hiring a consultant to help her with that. As of present, she receives medical products from a supplier and manually updates her inventory records, as well internal organization structure. Her inventory records need to be manually updated every night, to track daily sales. This causes many errors to occur. She also wants to enable her customers to order items from her pharmacy online, and to have the ordered items delivered to the customers in the same night. She also wishes she could somehow have access to quick on-the-fly key information about medications, like important contraindications, side effects and symptoms. Jasmin would like to have a system that could provide that information, as well as keep track of customer data and addresses, allow customers to make timed orders in advance), which could be useful for customers with chronic conditions, as well as to be able to have access to sales and forecast data, inventory usage and update, and basic sales info.
