I have an amazing physical inventory team made up of 7 leads. Together we handle all the behind-the-scenes things from start to finish. We start the batches, lead a counting team, audit tags, enter the tags, find errors, and complete the reports. There is a lot that goes into what we do. I value each one of them for all they do to support and ensure inventory goes smoothly.
This team is successful because we are all team players, helping each other out through the entire process. When someone's group is falling behind, we step up and make sure to send help. We teach each other and share tips and tricks when things come up so that everyone can lead to the best of their ability. We all come in at 4 a.m. to set up and share the burden. No one leaves until every tag is entered and all reports are completed.
I believe that we are also successful because we are all knowledgeable in our MRP/ERP system and products. When it comes to entering the tags in our database, this is done manually. Each tag is keyed into the batch by one of the 7 leads. It's a very tedious job. Knowing when the part numbers are wrong and how to identify the error quickly and correctly. Knowing when the quantity counted looks or seems off and knowing how to identify it quickly and correctly.
In our first physical inventory we had in 2022 (first quarter) we had some pushback from some of the other management. The leads all sit in the conference room that overlooks the production floor when it's time to enter the tags. We had been entering tags for about 2 hours at the point when we decided it was time to take a 10-minute break. At the same time, 2 members of management walked by and made a comment about sitting around doing nothing. This is the furthest thing from the truth, and it angered my team. They refused to do the next physical inventory and we had to cancel it. We had to work through this as a team and not allow 2 people to dictate how successful we were or allow them to bring us down. It took some time, but we were able to move past it and work successfully again as a team.
I read an article published by Yale University about teamwork leading to learning, cultivating communication, expanding accomplishments, and improving productivity. I can honestly say that my team has experienced this firsthand, and it has made us what we are today.
