Include behavioural statements that indicate the level of performance required for each trait that is being rated and all other sections as appropriate (i.e./ Name of Employee, Name of Evaluator, Position, Date. Signatures, Comments, etc.). Be sure to include a total score section. Make the tool as comprehensive as possible and user friendly. Your evaluation tool must be designed to flow logically from one area to the next and give as much detail as possible. Job Description Position Title: Administrative Assistant, Town of Pleasantville Scope: The Administrative Assistant reports to the Senior Administrative Officer and is responsible for providing administrative and clerical services. The Administrative Assistant will work with all members of the municipal office to provide efficient and effective service to employees and residents of the town. Responsibilities: 1. Provide administrative support to ensure that municipal operations are maintained in an effective, up to date and accurate manner. Erimary Activities: - Prepare correspondence, reports and other documents - Maintain office files - Open and distribute mail - Take minutes at meetings - Distribute minutes - Coordinate repairs to olfice equipment 2. Provide support to Council to ensure that Councai is provided with the resources to make effective decisions. Primary activities: - Maintain confidential records and files - Maintain records of decisions - Research and assist with the preparation of motions, policles and procedures - Review and edit reports - Prepare correspondence for Council members - Schedule meetings - Prepare meeting agendas 3. Provide reception and customer service. Primary activities: - Greet and assist visitors - Answer phones - Direct phone calls - Respond to inquiries - Receive and Process payments for billsand permits Working Conditions: The administrative assistant's work space will be located at the reception desk in the lobby of Town Hall. A typical work week will require the administrative assistant to work Mon. - Eri., 9 am until 5pm. There will be occasions during the year when the administrative assistant will be asked to extend their working hours untii 8:00pm (I.e.; tax payment season, building permit season, evening sessions of Town counci)
