BUSINESS WRITING PROCESS SCENARIOS FOR HEALTHCARE

The following situations require different strategies to effectively communicate. Read all three scenarios, a-c,to understand the context of each communication. Complete 1-5 below for one of the three scenarios.

a.The student has been asked to head a small working group within your organization that provides medical personnel to a number of large health facilities across the country. When your group was assembled, you were pleased to see that a colleague named Ron had been assigned to your group. Ron is reputed to be a very bright and creative fellow who was part of another highly successful group in the organization. However, Ron has been arriving late to group meetings and recently showed up halfway through the meeting and was clearly unprepared.

You overheard two members of the group discussing Ron's behavior. One group member, Marsha, was wondering why Ron had not been removed from the group yet; the other team member, Bill, speculated that Ron has been having some problems at home and suggested that everyone should cut him some slack. Next week your group is expected to achieve an important project so that the results can be passed along to other members of the organization. Each team member is responsible for a different part of the project, and Ron is responsible for the two most important parts. Your group is scheduled to meet tomorrow to make any last-minute coordination that may be required. Based on that timetable, you gave the head of your Association your personal guarantee that the project would be done by Monday.

Ron emails you today and says he doesn't have his sections finished and probably won't be able to finish them before the meeting. He says he just needs more time.

b.The student is the director of nursing of an area hospital's GI unit.A few months ago, you had a patient named Mary with some GI issues.Mary is a 39-year-old mother of two small children who presented to the hospital's GI suite to undergo a procedure under moderate [procedural] sedation. Her parents, Bill and Beth, accompanied her. Toward the end of the procedure, the nurse notices that Mary had turned blue and stopped the procedure. The nurse also noticed that Mary was not breathing and that her EKG showed a heart rate of less than 30. The nurse called for a code blue response while the team involved in the procedure began to administer CPR. When the code team arrived, though, there were some delays in providing appropriate care while different physicians argued about the proper course of treatment. Eventually, the team was able to re-establish Mary's normal heart rate, blood pressure, and adequate blood oxygen level, but she did experience some motor skills deficiencies and aphasia for which she received treatment and therapy.During the resuscitation efforts, information obtained from the devices monitoring Mary's EKG, blood pressure, and blood oxygen levels reveals a period of approximately 7 minutes during which she may not have been breathing adequately, possibly from too much sedation medication during the procedure.Further, the nurse involved in monitoring Mary appeared visibly shaken as noted by peers during the incident and stated that she was distracted during the procedure because she was trying to obtain different pieces of equipment for the procedure. Bill and Beth were in the waiting room. They heard the overhead call of code blue and saw many people running to the procedure area. Now, on Mary's behalf, Bill and Beth are inquiring about the procedure.You have been contacted by the COO who is working with Patient Relations to formulate a response to Bill and Beth requesting information regarding Mary's procedure.

  1. The student is a President of the Long-Term Nursing Facility. You just met with your HR Director and reviewed the documentation she provided regarding staffing. You are quite disturbed by her report indicating the low retention rates of employees and the costs of this problem for the company.You decide that this problem needs further research to determine the causes and possible solutions by your vice president of operations. You must contact the vice president to enlist his help with the situation.

Discuss the following issues and draft the designated communication for your scenario:

  1. Clearly state the purpose of your document by completing the sentence, "as a result of my letter/email/memo, the reader will. . . ."

  1. Analyze the audience by noting what you know about your reader (relationship to you/your company, etc.) and how this information should affect your strategy.
  2. Identify the type of messagefrom your reader's perspectiveand strategically organize your ideas by following the appropriate structure presented in the Writing Process lectures.
  3. Consider why a particular medium is best suited for this message
  4. Draft the communication and present it to the class with an explanation of your strategies in the Module 2 Discussion Board.
