You are to investigate a quality variance and identify a corrective action. You must present your investigation as a cause and affect diagram. You should then provide an overview of which causes on the diagram are most likely and the action you intend to take.Additional information

The CRM project is nearing completion. The system has been installed throughout the organisation and the training has been completed. Many users are now already using the system.

As part of the quality assurance processes for the project, you have gathered feedback from a sample of users regarding the CRM. The feedback identified the following issues:

  • many employees are having trouble using the system. They are finding it difficult to navigate through the system. They are not able to produce the reports they need for business metric purposes
  • most of the employees described issues with the data in the CRM. The main concern was that a lot of the customer contact data was out-of-date or incomplete.

The above diagram is the cause-and-effect diagram for the IAJ CRM Project. The problems or causes are on the left side whereas the effects are on right

A major problem in taking important measures in the project would be to gather inaccurate information. This would lead to drawing up incorrect project estimates. If wrong estimates such as cost estimates, budget, timeline estimates are taken, it would ruin the entire project overall. An action to avoid gathering misinformation would be to get an expert onboard or to have multiple manager approvals in place. Another cause of a problem would be creating an inadequate quality checklist. Its effect could lead to unachieved criteria fulfilled and unachieved deliverables. This would massively slow down the progress of the project. An action to avoid this problem would be to ensure there is focus on the project's deliverables whilst constructing the quality checklist.

Additionally, miscommunication could be a problem and it would affect the efficiency and productivity of the stakeholders. When miscommunication and misunderstanding happen, everybody points fingers and blame each other. An action to combat miscommunication would be to hold more timely catch ups and meetings with stakeholders and to brief one another more frequently. Similarly, lack of training could be a problem that would lead to stakeholders not being able to produce reports needed for the project. Inadequate skills needed for the project can cause failure. An action to avoid this mishap from occurring could be to provide more on the job training required to the necessary stakeholders.
