I personally experienced difficulty while starting to understand Asana, I found it very complex since it had a lot of features to be learned and it was slightly difficult since it was my first time learning a project management tool. Even when Asana was not easy to learn, I tried my best to understand the tool. After that, I could see my slow improvements, which made me feel good. My team members were so helpful in clearing my doubts without hesitation. We had regular meetings to finish our tasks in a systematic manner.

Since I'm using Asana for the first time, I'm having a lot of problems understanding it, specifically with the part about assigning tasks and as well as the section where such applications are integrated with Asana since all of us don't know how to use them (such as zoom, etc). I did some research on Google and, after reading some of the articles, I feel like I understand Asana quite a bit.

It is our group's first time using Asana, and we are all confused about what this project management application is and how we could use it in our project. So, after some research on the web using Google and YouTube, we were able to get a fairly basic understanding of the technologies, which prompted us to communicate and interact better with each other. Despite several encounters along the way, our group was able to complete the given task.

Prior to this project, I knew very little about Asana and project management tools in general. However, my inexperience did not faze me initially since the reviews for Asana were overwhelmingly positive and frequently commended its user-friendly interface. ASANA's debut into our project proved to be a convoluted one despite my false assumptions that implementing it in our project would be relatively straightforward. My group members and I had issues comprehending its layout which hindered us from fully utilising all the features offered in its basic plan. Additionally, in an effort to convenience myself and evaluate Asana's performance across different Infocomm platforms, I integrated with Asana both on my computer and mobile device. Ultimately, I found the capabilities of Asana on my iPhone to be limited as there were certain functions I could not perform on mobile devices like granting permission to the team leader. Nevertheless, with time and practice, we managed to master Asana and successfully implement it into our project. Honestly, our collective confusion proved to be a blessing in disguise as it prompted us to improve communication and engagement amongst ourselves.

Our team did a competent job on their own tasks and contributed equally. While dealing with many issues like integrating apps, our team always works together on resolving them. The biggest downside is that Asana doesn't have the feature of assigning tasks to multiple members, which makes it difficult for us to cooperate and handle a single task together. Apart from this, I believe our team did a good job and all of us attended the meetings almost every time.

Group Reflection:

Overall, we have never used Asana before, so we have to do some research on Google to figure it out. Despite the fact that Asana is an excellent project management tool, we have not utilised it to its full potential.

The improvements are visible as soon as group members start learning, and Asana is a good management tool with some slight difficulties.

Our team has done an excellent job of providing and exchanging information with each other, but because of Asana's drawback, we are unable to work together as one to deal with a single task. As a result, all of us work on our tasks independently, and this has an impact on feedback and efficiency.

Drawbacks of Asana:

  • Cannot assign one task to multiple users.
  • Difficult to become familiar with the features and techniques.
  • Projects can get complex.
  • Asana is not suitable for small teams or single projects.
  • Task assigning is limited.

Brainstorming:

  • Search and read the instructions for Asana
  • Familiarise ourselves with Asana's features.
  • Creating a project.
  • Assigning tasks to each member.
  • Allocating the deadlines for each task that had been assigned in Asana.
  • Issuing a due date for each member to finish their designated tasks.
  • Wrap up and discuss the tasks.

Our Successes:

We managed to achieve simple tasks like: creating tasks and assigning tasks to project members, setting deadlines; progress tracking, establishing workflow setup, time allocation; and managing task dependencies.

Our Failures:

We found out that Asana doesn't offer direct integration with apps that we were familiar with. We had to completely revamp the way we communicated with one another through other alternatives. We were accustomed to interacting on platforms like Whatsapp/Discord. It took us some time to fully understand Asana's interface.

Asana's Overall Effectiveness:

The task management is very well organised, we can edit tasks easily and the task information is also real-time which is essential for the time efficiency of any project.

Asana's Shortcomings:

  • Too complicated and not very friendly for new users, especially given the large number of features. Even with simple tasks, we occasionally feel overwhelmed, these overloaded functions are confusing and contradictory.
  • This is a new type of experience working with project management tools like Asana. Projects are sometimes complicated by limited import and export functions. We had some difficulty learning the tool as it was somewhat complicated with so many features, but we also learned that after mastering the use of the tool, it is a good help for us in planning and tracking the tasks, especially the communication.

Overall Feedback:

Overall, Asana is a great collaborative oriented project management tool. Its basic plan is free forever and provides basic project management software features that help users properly gauge its functionalities. Asana allows users to view projects and manage tasks in a variety of ways, namely 'lists', 'boards', 'timelines', 'calendars', 'workflows' and 'dashboards'. Other project management tools do not offer many views, so it's great to see that Asana gives you all the visuals and view options you need. Each member can task in the way that works best for them, so they are productive. Switching views also gives the project manager an overview of the status of the project. However, Asana is one of the few that can act as a single source of truth for file sharing, including PDFs, JPGs, Google docs, team communication, group communication, and more.
