1. Once the landlord decides to go ahead with a chosen tenancy application, the tenant needs to sign a tenancy agreement. The company sign it on behalf of the landlord. The tenants need to pay a deposit bond and by law, this bond needs to be lodged with the fair trading.

2. Also, system should manage the ingoing inspection process. The system should allow the staff to schedule periodic inspections and end of lease inspections and be able to record the report details on to the system. The staff should be able to liaise these reports to the landlord via the system. If the ingoing and end of lease inspection does not match, the tenants need to resolve those issues. Bond release is subject to the end of lease agreement.

3. The system should be able to assist the staff to manage tenant details. The system should be able to add a new tenant details, update an existing tenant details and search tenants details on the system and be able to archive it if they no longer wish to be on the companys Tenants list. Also, all the communications between tenants need to be archived so that reports can be generated in an issue that goes to tribunal hearing. KRE represents landlord in a tribunal hearing.

4. KRE prefers the tenants to use direct debit as it is less hassle. However, by law, they have to provide more than one way to pay the rent.

5. The system should be able to assist the staff to manage other payments for the property for rent on behalf of landlords, such as council bills, water bills, insurance, etc. When there is a separate meter for the property, the water usage charges are passed to the tenants.

6. Company wants to make sure all the rents are paid in advance. So, the property managers run reports weekly to monitor the payments. If any tenant is behind by three days, they will be sending a text message. If they are behind by more than a week, a letter will be sent following up with a phone call from KRE. If they are behind by 2 weeks and if there is no agreed arrangement, tenants will be evicted from the property.
