Hourly employees in each university department provide their departmental secretaries with their weekly timecards. The departmental secretary accesses the employees' data from the Employee Payroll File and prepares a Weekly Time Sheet that lists each employee's name, social security number, and total hours worked. The time sheet also notes whether the employee is a student. Then the departmental secretary files the timecards in a Timecard History File and sends the time sheet to the university's payroll department. In the payroll department, a payroll clerk uses the Employee Payroll File to calculate thepay amount for each employee and then uses the earnings, deductions, and the amount of the paycheck to update the year-to-date data for each employee in the Employee Payroll File. If the employee is a student, the clerk checks the Financial Hold List. If the employee is on the list, a copy of the employees Employee Payroll File is sent to the Office of the Bursar for further action.
