Narrative The AOI Corporation is planning a bid to run a 12 day conference. This includes the hiring of various people, both employees, and other individuals that might be part of this presentation. The following information was provided to finance branch of your company and has found its way to you. It comes in the form of a note:

To run such a conference, we anticipate a range of employees needed. Most likely 4 from Leadership, 2 from R&D, and 6 from Communications. Not too sure how long each would have to say, but my guess is that the R&D folks would need to be there the entire span of the conference. Not too thrilled about this because everyone involved will need their union dues and taxes paid, and we must go through Falcon Paymasters as our payroll company. Last I checked, Falcon charge 2%. I found a note here stating that dues and taxes are 19% and 18% respectively. And since these people are all on our payroll, were going to have to give them the $60 per diem each day they travel (to and from the city). Don't recall what that is? Per Diem is money we give people to cover their expense when they're traveling to and from a place. So, you know, keep that in mind. There, and back, even if theyre just driving. Also keep in mind that they don't get paid anything else those days. They're not on the clock, so to speak.

My guess is corporate is going to want a few Visiting Resource speakers. Maybe we can get that duo from LA? Bet theyd do it for $500 a person. We would need them for day only. Thats the benefit of them coming together. Last I checked, round trip flights out of LA were going for $250 a piece. I assume theyd fly in, stay the night, present the next, day, stay over again, then fly back the following morning. Just remember, they're NOT our employees, so we don't have the same obligations. Just pay them their day rate through the payroll company and be done.

Oh, while were on it, since well be coming into town too, probably best to get the team hotels. The whole Communication, R&D, and Leadership team will need rooms. Stick them in that place we stayed last time. I think we got a deal for $110/roomight. And I think they city only has a 5% lodging tax on top of the nightly cost. Not too bad, to be honest. Thinking back on it now, I think itd also be good to get that other visiting speaker from last time. Hes local so he can just drive in from home. Though I recall he was pretty firm on $1000 for the day.

Hey, dont forget, those visiting speakers, the three of them, we dont owe the union dues, but well still get hit with the tax and such. Im sure Falcon will cut them checks, too.

Last thing I can think of are those individual contracts well have to lock in. Registration is probably two-grand, the ballroom will certainly be about four-thousand, and I want to say the contract for coffee services throughout was around $350. Doubt well have to pay taxes or anything on those; just lump them into the bill we get from the hotel.

Regarding those base pay scales - those admin folks make $200/day on these kind of things, right? Im guessing those R&D people make about fifty dollars less than that a day. And those Communication people, I want to say they make about 89/day.

Now that Im thinking on it, maybe we can save a bit by having the Leadership folks there for just over half the time. Like, 7 days. Hows that? Communication people probably should be there up front. Maybe the first 6 days? Just remember, these folks roll in the day before, and leave the day after theyre done.
