Introduction / Summary
The Pro-Health Vending Machine project aims to install 40 units of vending machines equally distributed to each campus of Centennial College. These machines will comprise of and sell healthy foods and beverages prepared by the students from the culinary school of the college.
This document covers the staffing management plan, Responsibility, Accountability, Consultation, Informed (RACI) chart as well as the communications management plan for the Pro-Health Vending Machine project.
Staff Management Plan
Introduction
The main goal of this project is to put up vending machines that only offer healthy foods and beverages across all 5 campuses of Centennial College to promote healthy living to the students and staffs. The snacks to be loaded on the machines will be acquired from the Culinary department of the said college.
Staffing Requirements This project will require the following internal staff:
- Project manager (PM) Christina Reeves to oversee and manage the overall project
- Project sponsor to help in getting approval from the Vice President of Centennial College for the vending machine locations and the dean of the Culinary department for the product supply
- Project coordinator to communicate with Jason Smith (Vending machine supply manager) to purchase all the machines needed
- Project team members to facilitate the procurement of the platforms and its installation along with the machines, and process the creation and printing of vending machine vinyl to Vendwraps
- Student leader of the culinary department to assist in ensuring completion of food and beverage products for pick-up
Staff Assignments
The project manager will work with the project sponsor in securing approvals from the management of the school. The project coordinator will identify the supplier and oversee the procurement of the machines. Both the project manager and coordinator will distribute the tasks to the team members in accomplishing the deliverables of the project. The contracted staffs who will do the installation and testing of the machines will be oversee by 2 team members of the project. The communication to the student leader for the supply of snacks from the Culinary department will be done by the coordinator and 1 project team member.
Training, Rewards, and Reassignment (Jeff)
Training basically increases the productivity and performance of an individual. It also improves the organizational structure of the project. Even though it is more ideal to have a team that is already equipped with experience and knowledge of the project, in some cases the project manager has to come up with different training methods not only to provide greater skill and knowledge to employees but also evaluate an individual's capacity, productivity, and performance. At this point the project manager can come up with a performance report and recommend rewards accordingly. If an individual lacks the basic skills or faces difficulties towards the task given, the project manager will recommend job description adjustment or reassignment if necessary

Communication Management Plan
Stakeholder Communications Requirement (Jeff)
The Project team must perform a communications requirement analysis that will determine the information that each stakeholders needs. As the project involves internal and external stakeholders that requires specific types and channels of communication which will demand transparency and accuracy to maintain its effectiveness. The project team has to identify first the objective of the communication requirements between specific stakeholders. Second is to determine what type of information and level of detail needs to be transmitted, and the third objective is to determine the frequency of communication or how often an update is required. These objectives will be fulfilled through studies, interviews, documented meetings, and conferences which will identify specific communications needs and tailored communications channels for each stakeholder.

Guidelines for Conveying of Information
- Make verbal communication (e.g., face-to-face meeting or telephone call) as the primary means of communication to ensure effective information transmittal and to promptly closeout clarifications and concerns.
- Carefully define the purpose of any meeting and establish the agenda before the session to optimize the meeting time duration.
- Issue the discussion points to all parties involved every after verbal communication to have a record of the agreements.
- Utilize the standard project templates for the development of project documents, written communications, and presentation materials.
- Ensure that all correspondences with the external parties have a correspondence number for efficient history tracking
- Arrange and issue the notes of the meeting within 24 hours. The involved parties must mutually agree on the content and affix their signatures on the document.
