Project Initiating Each group will be selecting a project that can apply the concepts of IT Project Management in real-world situations. You are responsible for identifying a company that needs to go through the development project, either automating a manual based information system or enhancing its current computer-based system. You may choose any type of company. However, you should have a thorough understanding of the organization. Your first assignment is to help Chief Information Officer (CIO) (or Chief Executive Officer (CEO) preparing deliverables for initiating the project. The system request should have the following six components: Deliverable Acceptance Form, Kickoff meeting, Preliminary Scope Statement, Stakeholder analysis, Business case (include impact on society, environment, and environment) and Project charter along with Any Special Issues or Constraints. Detailed information about each component that the system request should include is as follows (Refer to textbook Figure 3-1 to 3 and Table 3-2 to 10): 1) Project sponsor: Assume CIO (or CEO) of the company as the project sponsor 2) Business Case: a) An overview of the company A brief history and background information of the organization o size of the company (i.e. number of employees or total sales, etc.) o types of products / services that are provided by the organization b) Business reasons for initiating the system Based on business process management (BPM), determine selected information systems project as one of categories (e.g., business process automation, business process improvement, & business process reengineering). You need to describe current business processes (how the company operates currently) and any problems with the current system that the organization is facing (or business opportunities to initiate) o e.g., from in-store sales function to E-Commerce sales function or no automated system, etc.) 3) Preliminary Scope Statement: a) Briefly describe name of the project and type of the system the project aims to complete. (e.g., On-line ordering system, inventory system, etc.). b) Describe the business capabilities that a proposed system will provide (what the system must do). Be specific! If you select a small company, you could include a wide range of business functions. If you select a medium to large-sized company, it is better to focus your scope to a more limited application (e.g., sales and customer billing). For examples, refer to Figures 1-4 & 1-5 in your textbook and the handout. 4) Stakeholder analysis a) Issues that are relevant roles and responsibilities Identify who are the stakeholders and describe each stakeholder's attitude toward the new system (assume systems analyst interviewed each of them and document how they feel about the new system) 5) Project charter a) The expected document that formally recognize the start of the project List out tangible and intangible benefits (separate tangible vs. intangible) No need to provide projected quantified benefits Key Schedule Milestone Special Issues or Constraints Issues that are relevant to the implementation of the system Any deadline or other constraints Prepare a Feasibility Analysis using the template based on Figure 4- 4 to 6 (p. 148) as an example. The template can be downloaded from Blackboard under the Templates Tab. Since the scenarios we are using from the text do not provide much detail, you will need to make a lot of assumptions about the three areas of feasibility - that is fine! There are no "right" assumptions or conditions I am looking for - just make sure you describe your assumptions and base your feasibility discussions on them. In the organizational feasibility section make sure to identify the various stakeholder groups and how each group can be expected to help or hinder the success of the project. ******************** You do not need to use real name of the selected company.
