Rowling, Inc., manufactures and sells unique gift baskets that contain homemade jellies, jams, and candy arrangements. These gift baskets are only sold to the public through local floral and gift shops. The basket arrangement artists in the production department at Rowling’s submit purchase requests when raw material inventory levels are low. A purchasing supervisor reviews the requisition and approves or denies the request. If the request is approved, a purchasing clerk orders the goods from the appropriate vendors. 

Since certain materials can only be purchased from certain vendors, Rowling purchasing personnel use a database application to keep track of which vendors offer which materials to choose a vendor. When goods are received at one of Rowling’s three warehouses, a receiving clerk verifies the content and quality of the goods and notifies production. Rowling’s system records a liability upon receipt of goods. When a hard copy of a vendor’s invoice is received, it is compared to the receipt information and if a discrepancy exists, the vendor is contacted. Consistent with the payment terms (which often stipulate payment over time), a cashier contacts the bank to electronically disburse funds to the appropriate vendor. A single payment may include amounts to be applied to multiple invoices from a particular vendor.
