The College of Information and Mathematical Sciences (CIMS) would like a database to track equipment and software. CIMS does not currently have a database to accomplish this task. Each year, equipment is purchased by CIMS to support the instructional needs of students and faculty. Occasionally software must be purchased because it is not available through University-wide licensing. This project is concerned with tracking only the equipment and software purchased by CIMS. Equipment and software supplied by the University is tracked by other institutional entities.

Equipment is assigned for use in one of three ways: 1) in a fixed location such as a lab, server room, or office for instructional use, 2) assigned to individual students for project use, 3) assigned to individual faculty for instructional use. Once assigned to a fixed location, equipment should not be moved unless the database is updated to reflect the new location. In the case of mobile devices, a permanent location is not specified. Instead mobile equipment is assigned to a person. Mobile devices should not be transferred to another individual unless the database is updated to reflect the new assignment.

Software licenses are assigned for use on specific machines. Software media should be assigned for storage in a fixed location such as a lab or office.

For equipment, CIMS needs to keep track of purchase date, surplus date, serial number, description, cost, make and model if appropriate, vendor, warranty terms, etc. When a piece of equipment has outlived its usefulness, it is returned to the State of Georgia as surplus. Surplus equipment no longer needs to be tracked.

Over time, equipment may be assigned many times. CIMS needs to show a usage history of any piece of equipment as well as identifying its current assignment (i.e. location). If equipment is assigned to individuals, then current contact information needs to be stored.

For software, CIMS needs to keep track of purchase date, surplus date, license number, description, cost, vendor, version number, etc. When a piece of software has outlived its usefulness, it is returned to the State of Georgia as surplus. Surplus software no longer needs to be tracked.
