Highland Retirement Center (HRC) is a retirement village designed for adults over age 60 who want to “get away from it all.” HRC leases apartments; sells condominiums; and provides housekeeping, basic utilities, cable television, and recreational activities for its residents. The retirement village is locally owned and managed; however, a residents’ advisory board has significant input when changes or recommendations to the retirement village are contemplated.

HRC’s manager, Mary Lou Smith, approached you for help with the retirement center’s outdated information system. Currently, the retirement office has five employees, including Ms. Smith. She explains that all data concerning residents, financial matters, suppliers, employees, and recreational activities are kept manually. Currently, they prepare a weekly newsletter that is sent to current residents. Ms. Smith would like to have a system that automates the aforementioned areas.

The HRC scenario presented above provides lots of opportunities to improve business processes by implementing a new system. Within the HRC office there are several “sub-systems” that exist. List these sub-systems and provide a brief description of each. The first one has been done for you. (8 points)


Apartment Leasing: This system should track all the apartments available for leasing, terms of leases, and residents. All data regarding residents will be included in this sub-system.

For the first phase of the project you and your team have decided to focus on residents and recreational activities.


Before a resident can attend a recreational activity, both the resident and the activity must be entered into the system. Every resident must have a valid resident number in order to attend a recreational activity. Residents can attend up to 10 recreational activities a month free of charge. Additional activities are charged a fee that is specific to the activity. Every time a resident signs up for an activity, the system must ensure that they have not exceeded their limit of free activities and that the seat limit for the recreational activity has not been exceeded. If the resident has exceeded their limit then the system must note that the resident will be charged for the activity. If the seat limit for the activity has been reached, the resident should get a message telling them that the activity is full.


Ms. Smith assigns one of her staff to enter all the planned recreational activities into the system. Her staff will enter all the activity information including date, time, duration, location, seat limit, fee, and staff. The staff can also edit and delete the activity information. Every week the office manager also creates a newsletter that is sent to current residents. This newsletter includes information about upcoming activities. Every morning, the office manager prints a report that lists all the residents who have reached their 10 free recreational activities. If a resident has reached the threshold, the manager calls the resident to let them know. If they don’t reach the resident the manager will then send an email.
