Your letter addressing the problem with the vendor was well received. Your team, sponsor, and other stakeholders thought you were proactive and addressed their concerns appropriately. This is why you were not sure why your program manager (sponsor) called you into his office for an unplanned meeting. Your first thought was that he wanted to congratulate you in-person on how you handled the vendor situation and to acknowledge your successful leadership of the team this far, but you realized this is out of his character. He would have sent you an email or called you over the phone. An unplanned meeting could be a sign of an emergency. You realize it is in your best interest to plan for the meeting ahead of time. The meeting is not scheduled until this evening, so you have a few hours to pull together the information you believe the program manager might require and to answer questions he might have. Develop a 2-3 page paper listing and describing all of the information that you believe the program manager might want to see in the meeting. Defend your examples by describing what it is and explaining its level of importance to the program manager and this project. For example, you could list the need to include a progress and status report for the meeting, then explain what these two reports are, how they are used, and the level of importance for a project sponsor to know. You dont have to give project details (scope) but instead, explain the terms, the report, and other examples that are on your list. Also, include 5-10 questions that might be asked of you by the program manager and how you intend to respond to them.
