DukeGroup actively recruits High School Graduates who demonstrate the values lauded by JMU: stellar academics, active in the community, and mindfulness of global issues and values, just to name a few. DukeGroups large network of members contact these students, meet with them, and eventually collaborate on a list of students currently being recruited to come to JMU. Currently this involves emailing around Excel spreadsheets, phone calls with sticky notes hastily written, and travel to meet groups of students. 2. Part of the recruitment efforts, as well as efforts once students are at JMU, is to consider them for scholarship opportunities provided by DukeGroup itself. DukeGroup members accept and process scholarship applications from students, email them around to other members, email out to students notifications about newly available scholarships they can apply for, and try to collaborate on their selections of the few students that will be awarded. 3. After these students come to JMU, DukeGroup members will actively and professionally mentor them throughout their academic career. How to succeed in their course work; to find opportunities to be involved both on campus and off; How to develop their professional acumen and prepare for a successful post-JMU career. DukeGroup helps to mentor recruited JMU students through their academic career.
4. While students, the DukeGroup will connect mentored students with companies who offer internships over the summer. This has involved a lot of emails out to students who might fit, but sometimes good candidates are missed. Student applications flow back through DukeGroup members who pass them along to contacts at the companies. Sometimes human error creeps in and applications are misplaced. Additionally, sometimes descriptions of the details for an internship are not properly communicated from company to DukeGroup members to students (think: game of telephone!). 5. As mentored JMU students prepare to graduate, DukeGroup members will notify them of permanent employment opportunities and try to connect students to companies. Sometimes students who have had internships go on to work for those companies. Many of the same issues and errors described in the other activities occur here.
What is needed: We need a system where we can do away with this horribly ineffective, manual, post it note and spreadsheet process and keep all the information in one place. A website that uses a database would be great, so we can all log in from everywhere and quickly get to what we need. I think that would reduce a lot of error and frustration and free us up to do even greater things for JMU students. - Quote from client during requirements elicitation session.
