Based in Northbridge Western Australia (WA), NorGe is a medium size recruitment company with 40 staff and 2 managers. Out of the 40 employees, NorGe has representatives in most major cities in WA. The main role of the company representatives is to attend to issues facing their regional cities clients as well as conducting information sessions in various organisations in WA. The company has been in business for over 15 years. They offer recruitment services to companies that are looking to hire employees. NorGe ensure that their clients get the candidates who will be the best fit for their organisations. As part of their service, they perform several tasks such as advertise job position(s) on behalf of their clients, perform initial screening and perform the first two rounds of interviews, and organise for the best candidates to be interviewed by their clients. Overall, the company has been growing, although similar to many businesses, NorGe has seen a sharp decline in business over the last two and a half years partly due to Corona pandemic. The screening process involve online background check, contacting referees and past employers as well as content verification of the candidate submitted documents. The two initial interviews are conducted face-to-face and/or via video call/conference. However, due to the Corona pandemic, most of their interviews were via video conferences although now more in person interview are been conducted. For the most part, the video based interviews had no glitches, with exception of a few interviews that experienced video and/or audio issues. Most staff were/are comfortable with video conference interviews even though they have never had formal training.
All the mangers and the accountants each has fairly new computers. Most recruitment officers are using computers which were bought before the arrival of COVID-19. Although the Corona pandemic is projected to come to an end (Sutton, 20221 ), the company would like to invest in information system so as to ensure that they would never experience any problems in the future should the need to employ technology in similar scale arise. However, apart from productivity software (Microsoft Office suite and Adobe Acrobat Pro) they are unsure on whether to get custom written software for screening processing or acquire off the shelf software. Thus they would like to get your expert opinion regarding implementation of software particularly custom written software in order to ensure that they are getting value for money.
Furthermore, they would like to replace their aging computers and printers. Most of the new equipment will be installed at their head office in Northbridge. Currently, the head office has 6 office rooms, 1 for managing director, 1 for operation manager, 1 room for accountants, 1 big rooms for in person interviews and 1 medium size room for video conferences but can also accommodate in person meetings. There is also a hall like 'open office' where recruitment officers resides. Due to the nature of their work, recruitment officers are in constant interaction with fellow recruitment officers and external entities such as applicants referees and past employers. All the recturitment officers are supplied with one normal/regular office chair and a desk.
In the 'open office', computers are on ordinary desks with cables running on the floor. The office has two printers and one scanner. They two additional printers, one in the recruitment officer's office and the second one is situated on the corridor. The recruitment officer's office has halogen globes which produce good lighting for working. However, in summer the heat can be unbearable. Several recruitment officers have reported experiencing lower back spasms. Recruitment officers use their personal smart phones and tablets to perform some of their official duties (including data storage) in some occasions. Currently, NorGe does not have a clearly stipulated policy regarding usage of personal devices. You have been given a task as a consultant by NorGe to analyse the company's current situation and prepare a managerial report on how they should implement a new information system or improve their current system. They expect your conduct to adhere to the ACS code of ethics.
Assignment Requirements
Prepare a managerial report to advise the NorGe management team how they should implement a new information system or re-engineer their current system so that it could potentially improve productivity and minimise any current (and potential) problems. Among other things, your report should address the following:
1. Ensure staff will be able to use the new information system effectively (End user training).
2.Occupational health and safety (Human Computer Interaction and Ergonomics)
3.Installation and data conversion - Identify risks associated with the implementation. Select the most significant risk and state the implementation task(s)/aspect(s) the risk is most likely to occur. How should the identified (most significant) risk be managed?
4.Threats to information security and how could they be overcome. (Policies and Information Security).
5.How should the Post Implementation Review be undertaken? (Post Implementation Review).
