Employees log into the timecard system by entering their employee numbers into a computer terminal. The system updates the start time and stores it in the online time and attendance data file. The system produces a report that lists all absent and tardy employees and sends it to Human Resources and the production supervisor by 10:00 am.
Human Resources (HR) creates a new employee record from a hire authorization form submitted electronically by the division head. The form includes the employee’s name, address, social security number, address, phone, starting salary, and department. The new record is added to the employee master file, stored online. At this time, the system generates a user ID and unique employee number for the employee and sends this info to the employee’s department manager. The manager is responsible for providing this info to the employee.
The employee login is verified against the employee master file for employee number and name match. Errors where there is no match to the employee master file are reported on a printout and sent to Payroll, HR, and the employee’s department manager. The employee is allowed to manually sign in, but only once. Repeated attempts at manual sign-in are flagged and prevented by the system.
At the end of the day, the employee logs out again entering his/her number into the computer terminal. The on-line time and attendance data file is updated, and a report of total hours worked for all employees is sent to HR and the Production Supervisor.
Employees are paid once a week. Payroll is processed by the payroll system using the time and attendance data and the employee master file. Employees receive their net pay through the ACH (automated clearing house)-direct deposit and their pay summary listing YTD pay, deductions, etc. is sent to each employee electronically.
