THE EVENT

 

 EVEN NAME: GREAT NEWS MEDIA COMPANY PICNIC EVENT

 

Event Purpose:

The company Great News Media is consistently hosting an annual family event for the employees every summer. This is company's way of rewarding the employees for their hard work, dedication, and loyalty to their job roles. This year the company decided to have a family picnic event which aims to unify corporate families together and strengthen corporate culture, most importantly promote brand image.

 

Event goals and objectives 

The company picnic event desire to achieve the following goals.

  • A good working relationship among employees.
  • To cultivate a family atmosphere and boost company morale
  • Recognizing achievement of employees 
  • Provide positive mindset.

  • Magic Entertainers and balloon artists
  • Sumptuous lunch 
  • Creating memories using photobooth
  • Get to bond and know your colleague's family.
  • Surprise swag bags will be given away.
  • Family scavenger hunt
  • Be inspired and get the chance to talk with the company CEO.
  • Exciting prizes and awards

Event Site

 

Our group decided to hold our company picnic at Shawnessy The Barn. This historic site has a stunning barn in the middle of its 17 acres of green space, which can hold up to 115 guests. The location's character requires little decorations as it offers a farm-garden atmosphere that is perfect for a picnic gathering. Additionally, it has a kitchen where caterers can store and reheat meals. We chose this location mostly because of the privacy it provides as we will have children at the event, and it will be safer for them if the site is secluded. Other facilities of The Barn include chairs and tables, lighting and electricity, free parking, and wireless internet/Wi-Fi. The rental fee for Shawnessy The Barn is $1800.00 per day. 

In choosing the event site, we took into consideration two criteria which are Facilities and Space. Shawnessy The Barn provides better facilities for our company picnic event because aside from the amenities mentioned above, it also provides both indoor and outdoor experiences. For a more picnic-vibe atmosphere, we can set up the chairs and tables in the garden. And if the weather becomes harsh, we can also set up indoors. 

 

For the Space, Shawnessy The Barn can accommodate up to 115 guests indoors or outdoors and we like that it has a kitchen that caterers can use to store and heat food. This will minimize some risks when it comes to food safety and handling. Additionally, in contrast to a public park, which is highly open to everyone, Shawnessy The Barn offers privacy, so parents can let their kids run around and play without fear that they'll get lost.

 

Lastly, our group noted the following as must-haves: electricity and the ability to accommodate the number of guests. We made sure that the venue we chose could accommodate up to at least 100 people indoors or outdoors and because we will hire a photobooth and a sound system for the event, our venue should have electricity as well. 

 

Food and Beverage 

 

Food

For the food, our group created a menu that considers any dietary restrictions and allergies the employees and their guests may have. Ingredient information signs will be placed beside each buffet option and the menu will include gluten-free, vegetarian, and vegan dishes, among others.

Timings

The caterer may utilize The Barn's kitchen to safely store the food while assembling the buffet table. Lunch will be served from noon to 1 pm, however, the guests are welcome to get more food until the end of the event. The group also considered the amount of food and drinks per guest and ensured that there was enough food for everyone until the end of the event. 

 

Food Handling

Since this is a buffet, the group will request the caterer to manage the buffet table so that only the staff will touch the serving utensils and there will be sanitizer available at the start of the line to minimize contamination and health risks. 

 

Price

The cost for the food will be $70.00 per person, including the main course, side dishes, dessert, and drinks. The proposed menu is as follows.
