This memo provides the instructions for preparing for and performing PARs. The major steps for this procedure are: helping the employees to prepare for their PARs, carrying out a one-to-one interview, and processing paperwork. 2.0 STEP-BY-STEP PROCEDURE 2.1 Help the employees to prepare for their PARs 2.1.1 Confirm the list of interviewees. NOTE: A list of employees to receive PARs is sent by the corporate office to each eligible employees supervisor several days before the anniversary month. 2.1.2 Set an interview date for each employee. 2.1.3 Give the employee receiving a PAR a copy of the M&K PAR Discussion Guide before the interview date. NOTE: The guide contains information regarding the topics and the tone for a PAR interview. 2.2 Carry out a one-to-one interview with the employee 2.2.1 Use the M&K PAR Discussion Guide as a reference to carry out a proper interview 2.2.2 Use the PAR Report Form to confirm that a complete interview has been carried out. 2.3 Process paperwork 2.3.1 Complete a PAR Report Form after each interview. 2.3.2 Send the copies of the PAR Report Forms to the Canadian operations vice president, to the head office and to the employee. NOTE: Keep the original form in the personnel files at the branch. 2.4 Produce a memo of explanation WARNING: PERFORM STEP 4.0 ONLY IF A PAR IS NOT PERFORMED OR A PAR REPORT FORM IS NOT COMPLETED IN THE REQUIRED MONTH FOR ANY REASON. 2.4.1 Write a memo of explanation 2.4.2 Send the memo to the Human Resources department 2.4.3 Send a copy of the memo to the branch manager 3.0 CONCLUSION Helping the employees to prepare for their PARs provides them a fair chance to be properly evaluated. Carrying out a one-to-one interview with each employee ensures that the interview is carried out with full attention and without any interruption for the best result. Processing paperwork is the most important part since it is the written report that will be stored in the company system.
