For this part of the assessment, you will need to organise to meet with a landlord to complete a property management agreement and establish the interactions between the landlord and the agency. This is an initial meeting where you will need to provide information to the landlord, talk to them about property management services and begin to establish a professional relationship with the landlord. You will need to talk to them about a property management agreement which will set out the formal relationship between your agency and the landlord. You can refer to the following details:

• Establishment fee for a new lease $450
• Lease management fee 2.5% of the rent (which for this rental is $500 per week)
• Administration charges $25 per month

You need to explain the details of the agreement to the landlord and answer any questions they have. Check that you have talked to the landlord about the fees and charges included in the agreement.

• You should provide information to the landlord about the role of personnel at the agency. You can refer to the following people:
• Maddie Blythe receptionist
• Jenni Matherson agency office manager
• Peter Gerilnt real estate agent
• Yourself as the property manager

You should tell the landlord about what each of these people do, and how the landlord might need to interact with them. For example, you might explain that the receptionist will be the person who they might contact if they had any queries, or the office manager if they have a problem or concern about administrative matters.

• Provide information to the landlord about how often you will communicate with them and what information you will provide (for example, you could explain when you will phone them or how you will notify them of urgent or non urgent repairs or maintenance).
• YOu should ask the landlord for their instructions about specific requirements for a tenant for their property. Your landlord should request a tenant who is a non-smoker and who is able to provide references or evidence of employment or capacity to pay the rent which is being asked. You should ask the landlord about their requirements and listen as they tell you what they are seeking in a tenant.
• You should tell the landlord about how you will communicate with them about regular matters such as minor repairs or tenant requests, as well as about urgent issues such as rent in arrears or an urgent repair to the property.

You should meet with the landlord for at least 10 minutes and make sure you have covered the agreement, personnel, talked to them about their tenant requirements and explained the communication methods that will be used.
