You have just been promoted to Project Manager for the Health Information Systems department at the Hospital for Special Injuries. You have been working at the hospital for 4 years as an IT workflow analyst in their hospital billing department. You are very comfortable with the billing systems and know a lot about the Electronic Medical Record (EMR) system since it is highly integrated with the billing system. There is a major enhancement to the EMR system that was just purchased for outpatient medical offices associated with the hospital. All physicians and nurses in the hospital have been using the EMR for 6 years and this new module is similar but has different workflows specific to treat patients visiting the specialty departments. After meeting with the Sponsor of the project, the Chair of the department of pediatrics, you have some sense of the scope of work. According the sponsor, you need to start the project right away (today), the contract negotiations took much longer than expected and she expects the project to be complete by the new Fiscal year which starts July 1,2023 . The system will be rolled out by department so as to not overwhelm the IT support staff. Training for each department is expected to take only 2 full days and the offices will be closed to patients during this time. The Pediatric and Geriatric departments have been prioritized by the Sponsor. Susan is the IT developer who will perform all the integration programming with the billing system. John will be the lead workflow specials who will configure the departmental patient chart(s) forms. Marybeth will act as the lead medical consultant who will perform all the QA testing. Lastly, Frank will be the database admin who will load the necessary treatment codes, users and user permissions and current patient data. The module integration with the billing system needs to take place first and is expected to take 8 days to be complete. The Pediatric department will be engaged first and a week later the project team will begin engaging the Geriatric department and each department implementation will be as follows: - Meet with the department chairs to review the scope and timeline - Collect department staff data (names and roles), permission levels needed, \# of patient rooms and computers needed (1 day) - Send hardware requirements to desktop and networking team to ensure all the necessary computer hardware is on site for go live (delivery for hardware is 3 weeks) - Collect current patient data from front office computer and load into the system (1 day) - Collect diagnosis codes and verify with department chair and staff ( 1 day) - Set 1 week for system configuration - Set 2 weeks for testing, re-work - Set 2 days for training All outpatient offices are closed on Sundays but are open Monday - Saturday ( 8 hours per day). After training of staff is complete go live will be 4 days afterward to ensure all the staff is comfortable and ready.
