Good afternoon, Class, As a newly assigned leader of the company's process improvement team, I would like to improve upon the existing Maintenance Control department's on-call maintenance vendors excel spreadsheet. The currently used spreadsheet is unreliable, and very outdated with many of the listed occupants no longer in business or working in their previously stated coverage locations. The intent of updating this spreadsheet is to provide an effective, reliable resource that would better serve our department in locating a maintenance vendor for a company aircraft in need of service in a timelier manner. As a Maintenance Controller, anything we can do to help alleviate the need to make any unnecessary actions (phone calls, emails, etc.,) to establish faster maintenance compliance aids in better time management thus contributing significantly to minimizing aircraft downtime. The first quality tool I would like to implement would be the cause-and-effect diagram. This tool is not based on statistics and is "simply a means of visualizing how the various factors associated with a process affect the process's output" (Goetsch, D.L., & Davis, S.B. 2020). The following of an established process required for proper inclusion of the various inputs (maintenance vendors) into the maintenance control vendor list allows for the understanding that no one individual possesses all the knowledge necessary for making the respective addition until protocol is followed. The second quality tool I would like to implement would be the check sheet. "The purpose of the check sheet is to make it easy to collect data for specific purposes and to present it in a way that facilitates conversion from data to useful information" (Goetsch, D.L., & Davis, S.B. 2020). The open recognition by everyone that the check sheet requires no established protocols to be followed offers the team the ability to incorporate information into the vendors list willingly without reservation. It therefore effectively provides the team with the opportunity to utilize a multitude of available resources for acquiring useful information that is mutually beneficial for all. The effective incorporation of all organizational department team members insight into an updated on-call maintenance vendor spreadsheet would become highly effective for establishing contact with the most appropriate maintenance vendors for situational need allowing for faster maintenance compliance.
