INTRODUCTION
Due to recent expansion, the Hudson River Accounting Corporation (HRAC) is requesting proposals for a thorough systems analysis of its operations. HRAC anticipates that the submitted proposals will include, but are not limited to, a detailed analysis, computer hardware and software plans, communication plans and office equipment recommendations. The proposals must be visionary in providing a technical direction for the firm for the next five to ten years. The firm will only consider proposals submitted by reputable consulting firms.
Submitted proposals must be thorough and justifiable. Upon reviewing the submitted proposals, a small number of firms will be invited to present and justify their proposals. This process will be repeated until the final candidate firm is chosen. During this process, it is expected that the consultants from the candidate firms will be available for interviewing.
BACKGROUND
HRAC is completing its tenth year in the Mid-Hudson Valley. HRAC provides accounting analysis to large firms in Westchester and Albany, NY. In addition to the large corporate clients, the firm also provides small area firms with bookkeeping services and tax preparation for individual as well as business clients. Currently, the firm has two offices, one in Poughkeepsie, NY and the other in Kingston, NY. The firm currently processes all transactions without current computer technology. Although each office has old PCs primarily for office support, it is expected that these will not be part of the final solution. The Kingston office occupies two floors at 1 Wall Street. The Poughkeepsie office occupies 1 large floor of the Barney Building in downtown Poughkeepsie.
Personnel
In the Kingston office, the firm employs four Certified Public Accountants, an office assistant pool of three individuals and two junior accountants as well as a receptionist. The Poughkeepsie headquarters houses the CEO of the firm, two Certified Public Accountants, two office assistants and a receptionist.
Final Details
HRAC is willing to consider both primary and alternate proposals. The firm is willing to spend in the area of $30,000 to $75,000 for the final solution. All proposals must clearly and accurately identify all costs (the firm will not consider any "hidden or indeterminate" costs). The consultants will be provided any information required and are encouraged to call the office for an appointment to clarify the items in the RFP. They will not, however, be provided with any information concerning the decision making process or be provided any direction in developing the proposal.
