You are the newly employed Marketing and Communications Manager at Football South East Coast (FSEC), and you are required to conduct planning to develop action plan for the operational plan. Your Operational Manager has asked you to conduct planning on following key result area of the Operational plan:
Volunteer Development.
The Operations Manager has asked you to develop your own performance plan, your teams
performance plan and, in consultation with the team, an action plan.
Carefully read the Football South East Coast Case Study (Appendix 1), Operational Plan Extract (Appendix 2) and New Program Policy and Procedure (Appendix 3) and then complete the following activities.
Activities
1. Develop individual and team plans
Carefully read the Football South East Coast Case Study (Appendix 1), Operational
Plan Extract (Appendix 2) and New Program Policy and Procedure (Appendix 3).
Develop a 12-months performance plan for yourself, including associated key performance indicators, by completing the Personal Performance Plan Template (Appendix 4).
Develop the team plan, in preparation for a meeting with the Junior Coordinators, by completing the Team Plan Template (Appendix 5). Note that sections 4-6 must be completed after the meeting.
2. Email a meeting invite
Write an email to the Junior Coordinators (your assessor). Your email needs to include the following information:
An introduction to you and your new role
An acknowledgement of the work the team has been doing so far
The date and time of the meeting, as well as the duration (which will be 20
minutes)
A summary of the meeting agenda (summarise your meeting plan items)
A request for each person to prepare one (1) suggestion for each three action
areas
The email should be written in a polite, business-like style and be warm and encouraging.
5. Email the Operations Manager
Write an email to the Operations Manager (your assessor) outlining the following:
A summary of the option you have decided on from the meeting
Main reasons for selecting this option
Request for approval of your action plan.
Attach the completed Team Plan to the email. Make sure you meet all requirements in relation to timeframes as outlined in the policy.
6. Email the team
Assume that you have received approval from the Operations Manager for your action plan.
Write an email to the Junior Coordinators to:
thank them for their participation in the meeting
keep them informed of the option you have decided upon
identify the main reason why and include a summary of how the project will
be implemented.

3. Conduct a 20 -minute meeting with your team Role play Scenario The purpose of the meeting is to discuss the steps you have taken to develop the team plan and to discuss and prepare the action plan (sections 4-6 of the Team Plan). Conditions Your assessor will play the role of one of the Junior Coordinators of Football South East Coast and two other students will also play coordinator roles. Your assessor will prepare the environment for the meeting. Before attending the meeting, ensure you have the Team Plan (Appendix 5) ready. The meeting starts when your assessor welcomes you to the meeting and it should run for 20 minutes. During the meeting: - Introduce the meeting, including the purpose of the meeting - Encourage individual and team participation and identify the importance of being actively involved - Discuss how yours and their personal conduct demonstrates crediblity and integrity by aligning your team goals with the organisation's strategic goals - Work through each step of the team plan you developed, providing them with information from sections 1-3 that you have developed and working together through sections 4-6. - Demonstrate team building techniques including clear explanation of goals and outcomes - Demonstrate role modelling the organisation's positive values-based behaviour - Encourage participation in decision-making processes when discussing options and risks 4. Complete the Team Plan Now that you have received input from your team and completed the relevant parts of the Team Plan at the meeting, choose the best option for the first area - Incentive Scheme - to encourage more volunteers. Further develop this idea and prepare for implementation by completing the Action Plan (section 5) of the Team Plan Template (Appendix 5) in line with the New Programs Policy and Procedures (Appendix 3)
