The process is as follows: All departments need to report the timesheets in a timely manner. Thus, the departments supervisors are responsible to total the time worked for each employee which becomes a timesheet. Once done, the Supervisors forward the timesheets to data processing Data processing records the timesheets such as employee numbers and hours, into the system. The computer calculates the normal hours and the overtime hours. The computer also reads the employees withholding and pay rate from the employee database file and computes the gross pay, net pay, and deductions for each employee. Every time the computations are done, the computer records the payroll data into a temporary transaction file (label it as TF). At the time of payroll (payday), the computer prints electronic vouchers for each employee on the computer terminal of the payroll department, The computer also reads the temporary transaction file (TF) and prints a digital summary report of the payroll data to the reports reader program database of the payroll department. The payroll manager enters a code to display vouchers by accessing both the employees database file and the reports reader file; Then, the payroll manager reconciles the summary with the payroll vouchers report. If any unreconciled differences, the payroll manager creates a discrepancy report that is immediately sent to the internal auditor. For all other reconciled paychecks, the payroll manager prints the checks, and signs. He then delivers paychecks to employees.
