2. Read the memo and consider ways in which you could improve the writing style and organization. At present, the memo does not really say much. Most students would glance at it and then discard it. They would not know what they were supposed to do.
3. Consider how you could rewrite the memo to include information about an upcoming skiing trip and request that students contact you if they are interested.
4. Write a good purpose statement to start the memo. You want to inform students that the purpose of the memo is to determine their interest in the Spring Break skiing trip.
The first paragraph should also include some kind of motivational statement such as We’d like to organize a fantastic Spring Break skiing trip!
5. Determine the details required for the memo. Use the 5W technique to help you determine appropriate details. For example, you could ask questions such as Where will the trip go?, How much will it cost?, Where will the students stay?, and What activities are available in addition to skiing?. You will probably be able to think of many more questions. Jot down the answers to the questions on a separate sheet of paper and then refer to them as you rewrite the memo. Conduct some research on the Internet to find information about ski resorts in California so that you can describe possible destinations. Remember that the purpose of the memo is to encourage students to participate in the trip. As a result, you want to make sure you provide them with enough information to make a positive decision.
6. Include an action statement in the final paragraph. You need to provide students with a way to answer you. You might consider including a tear-off form at the bottom of the memo that includes check boxes. Students can fill in the form, tear it off, and drop it off at a specified location such as a classroom. You want to make replying to the memo with an expression of interest as easy as possible. Figure 3-12 shows a sample tear-off form that you may want to adapt for your memo. You can create the dashed line using the Borders and Shading dialog box. 7. Modify the formatting of the memo. For example, you might change the color of the Memorandum heading and add a custom border below the heading lines. You may need to adjust the top and bottom margins so the memo fits on one page.
