You are the Administration Manager of a health resort and convention centre in the Blue Mountains, near Sydney. The resort, Blue Healer, is made up of five areas: catering, spa, meeting rooms accommodation, and administration. Each area has its own full-time manager. The kitchen is large enough to feed over 100 people three meals each day. There are two full-time kitchen staff, and the rest of the staff are hired on a casual basis to cater for functions and retreats. There is accommodation for 80 people in twin and double rooms. Surrounding hotels provide further accommodation when needed. The spa has two saunas, a steam room, three warm water spas, four massage rooms and two consultation rooms where naturopathic consultations and facial treatments are performed. The spa runs continuously, mostly due to locals visiting, whether a course is running or not. There is also an office where the accounts are done, and records kept. It is an open plan office with 5 staff workstations. Most staff prefer to work with their own laptops, connected to the larger computer screens. Much of Blue Healer's administrative work is carried out in the office, but several staff work from home several days each week. There are four meeting rooms of various sizes, and these can be opened up to make one large room for functions such as weddings and courses. There is also a reception and administration area where computers and printers can be accessed. As Administration Manager, you are responsible for the office area as well as the meeting rooms. Blue Healer has recently adopted a Sustainability Policy and Procedures and each area manager has been requested to determine how these will impact their work team's activities. The CEO has indicated that Blue Healer does not want to incur any additional costs in implementing the Sustainability Policy and Procedures. If any additional resources are necessary, management expects that an itemised budget will be submitted to them before resources are approved and allocated. Sustainability Policy and Procedures
Purpose
- To provide staff, customers and suppliers with inspiration and guidelines on sustainable practices to be conducted within the company.
- To ensure staff, customers and suppliers engage in environmentally friendly practices wherever possible.
- To promote our company as a leader in environmental sustainability.
Scope
This policy has been developed for all staff of the Blue Healer.
Policy
Wewill strive to minimise its environmental impact and carbon footprint, providing leadership in environmental management by ensuring environmental sustainability is integral to all of its activities as outlined below.
Demonstrating best practice:we will integrate sustainability into all its aspects and functions. It will be embedded into all operational policies and procedures; considered in all strategic and operational planning; and enabled through sustainable practices.
Shared responsibility: All members ofour staffare responsible for our sustainability performance and as such will be made aware of their role through induction, professional development, the provision of necessary information and educational resources, as well as ongoing training and awareness. Sustainability will form an important part of key performance indicators as a matter of process over time.
Participation:Staff participation in decision-making about activities is valued and will be sought whenever possible in the development and implementation ofoursustainability agenda.
Openness and transparency:Actions and processes will be transparent, and progress against identified indicators and targets will be discussed with staff on a regular basis. These reports will be made publicly available.
Innovation and creativity: Creative and innovative approaches will be employed to find solutions to and eliminate unsustainable practices.
Self-sufficiency: Where possible,wewill use resources generated on the premises, with residual needs met using a sustainable procurement policy.
Whole systems approach: A whole-systems approach will be implemented to create successful change towards sustainability.
Procedures
Water
Save water by switching the tap off properly after use.
Save water by watering the office plants with water that is still in the kettle at the end of the day.
Electricity
Turn off all lights at the end of the day.
Wherever practical, equipment should be turned off completely at the end of the day rather than leaving it on standby.
Waste
All used paper, cardboard, aluminium and hard plastic is to be placed in the recycling bins.
The contents will be collected regularly by our Sustainable Salon waste contractors
Printing
Documents should only be printed when they need to be proof read or used as hard copy.
Where possible, non-final draft documents that need to be printed should be printed on the back of old documents.
Double-sided documents should be used wherever possible.
Recommendations for more sustainability procedures should be given to the Operations Manager for consideration. All suggestions that require additional funding are to be approved by senior management before being undertaken.
