Effective communication is vital to the success of any team and team meetings can play an

important role in effective communication. List and explain briefly five steps that the sales

team supervisor should follow in order to hold an effective team meeting?

My Ans: Here are five steps teams should follow in order to hold effective team meetings:

1.Create a agenda.

Agenda is a list of items to be discussed at a formal meeting. Having an agenda means every member of the team knows what they will be discussing in the meeting. For example there will be a sale team meeting every Monday from 9:00AM to 10:00AM.

2.Distribute the agenda to all team members before the meeting.

This ensures that every member can bring their feedback regarding the certain topic. They can bring notes or any other material they would like to share with other team members.

3.Facilitate the meeting: keep discussion focused on the objectives of the meeting, encourage team members to reach agreement on goals, required actions, and responsibilities.

It is team leader responsibility to ensure everyone is on track and get the answers of their questions they had. Also team stays on agenda rather than talking some other non essential issues.

4. Write nd distribute meeting minutes detailing actions to be taken and accountabilities.

This is very important that all the agreed action should be written down and sends to all the staff members as a reminder that they have certain task to complete.

5.Follow up on agreed actions and responsibilities.

Team leader should ensure that everyone is on track and has everything they need to complete the given task (pg 85-86, Cassidy).

But teacher says that I need to add SMART in it .
