Even though an accountant is not a programmer, he or she should have some knowledge of how the accounting data is created and stored. Database Management System is the software system responsible for storing this data If we understand how the accounting data is stored, we will become a better auditor. This assignment is related to the creation of a database that may be part of an accounting software at a later time. At this point in time without thinking about the final programs that use this data we will create a database which can be used for many alternative purposes. The assignment has two components: Part I: Create MS Access objects (create tables and relationships): Create Tables Create Relationships Part II: Data Retrieval: Queries and Reports Create Queries Create calculated fields Create reports Edit Reports THE PROJECT-PART I : CREATE A DATABASE FOR A REVENUE SYSTEM . THE PROBLEM Assume that you are employed as an accountant by an online appliance and electronics wholesaler. On your first day at work, the owner complains about the billing system they use is based on Excel and keeping up with invoices, receivables etc. has been a difficult task. If you can improve the situation a healthy promotion is waiting for you. THE CURRENT SITUATION You notice that the current orders recorded on an Excel spread sheet (see the attached Excel file "invoicedata.xlsx) Invoices are manually prepared by transferring this data to MS Word. To much time is wasted and the results are not reliable (see the attached file customerinvoices.pdf) The same information is entered many times, e.g company title and address. This is a time consuming event, and nobody can be sure about the accuracy of the entered information. An abbreviated version of the Excel file In your conversations with the accounting staff, you obtain the following information: After orders are taken, ordered items are combined and picked up by FedEx and UPS to deliver to the customers in different states. The shipping costs are based on the catalog weight of the product. Shipping fees are collected by the wholesaler and paid to the shipping company periodically. The owner explains the difficulty she faces in determining these payments. The shipping fees are $0.19 and $0.23 per pound for FedEx and UPS respectively. Your Recommendation and your task: The Excel based approach should be replaced with a DBMS (MS Access) based solution.
