You work at a company whose main business is security and safety. Your company, 'Protectia Co.' is located at 11 Armour Alley, Singapore 323565. With the resumption of activities from Covid-19 closures, you have to periodically review how to accommodate industry attachments, student internships and outreach requests, namely from the local polytechnics and ITE.

You are the secretary to the Community Outreach Committee. Below is the transcript of your third committee meeting held on 4 July 2022 at Conference Room

Question:

Read the given meeting transcript (actual exchange among members at the meeting) carefully. Then write the minutes of this meeting using the action minutes style. Use the correct format. Write in the space provided.

Jasmine Kang (JK): Good afternoon everyone. Hope everyone had a good weekend? Thanks for coming. It's 3.40pm now, let's begin, shall we?
Chandran Daha (CD): Certainly, boss. Let's get cracking.
JK: Good. (looking at you) Any apologies for absence?
You: Yes, Dick Ee can't attend as he's on urgent parental care leave.
JK: Alright, noted. Any amendments to minutes of last meeting?
Ridwan Syed (RS): The budget for corporate gifts during outreach events for 2022 should be $3000, instead of $2000 as recorded.
JK: Good. Anything else anyone? (looks around and sees no one raising their hands to speak). Ok then I shall take it that the minutes are confirmed as read with the amendment made.
Everyone: Yes, boss.
JK: Good. Thanks everyone. OK, Matters Arising - anything to report?
Matthew Neo (MN): We ran our third outreach session this year on 18 June. It was on Zoom with 70 Diploma in Logistics students from the School of Business, Temasek Polytechnic. Boy was it an interesting experience!
Ferdinand Gareth (FG): How long was the session?
MN: We had initially planned for half an hour, but the students were so enthusiastic and kept asking questions that we ended half an hour later.
JK: Good job. Another other developments anyone? (looking at everyone) OK then, let's move on to today's items.
JK: The first thing is on the corporate video that we show during our outreach events. As you know, the current video features some staff who have since left the company. I think it's high time we come up with a new one. What does everyone think?
FG: I agree it's time we get a new corporate video. The previous one is so yesterday!
CD: Yes, it's so Y2K! Oh yes, there's also a part where Axel Bridge, our previous CEO, talked about her vision for the company. Can we feature our new CEO, Anita Bonita?
FG: Oh, oh! We can get her to do something that's trending on Tiktok, like skateboarding? I know, she can go around our offices!
CD: Sounds like a great idea! We should create a corporate video that attracts today's youths, using catchy tunes and showcase the areas where staff can relax and chill.
JK: Okay, great to sense the energy behind the creative ideas. Chandran and Ferdinand, could I get you to come up with a timeline and storyboard in a month's time? Please work with Corporate Communications department closely.
CD, FG: It'll be great fun!
JK: Thanks. Right, let's move to the second item. SkillsFuture Singapore has approached us to support their Career Transition Programme. As you may have heard, this is a train-and-place programme for mid-career individuals looking to be employed in new sectors. Our internship management programme for the security industry has been well-received over the years, and SkillsFuture Singapore would like to see if we can run something similar for them.
MN: Oh, how are they looking at us contributing?
JK: There are two areas, namely developing and running a joint programme. Would anyone in our team like to represent us in the discussions with SkillsFuture Singapore? We'll also need to talk with the team heads to see how our company can host these interns.
RS: Oh, if it's alright, I think you can leave it to us, Matthew and Ridwan. We're currently discussing with SUSS on starting an internship programme as well and can look at how synergies can be formed as we plan both programmes.
JK: That sounds like a great idea, Ridwan. Could I get you to arrange a meeting with SkillsFuture Singapore over the next 2 weeks by replying to their email, which I will forward you after this meeting? We'll then hold a meeting with the team heads after getting more details.
RS: I'll do this ASAP, boss.
JK: Alright, so we've looked into the two main items. Now let's move onto AOB. Anything to table, anyone?
You: As you know, National Day will be here soon on 9 August. I think we should have our own small-scale celebration.
FG: This is an excellent idea. My feelings too. We had so much to do so we could not plan and organise something for National Day.
JK: Does anyone have any proposal?
CD: I think we should have a nice lunch and a sing along for all of us.
JK: Yes, a great idea. Could I ask you to manage this, Chandran?
CD: Pleasure boss. What about the budget?
JK: Let's keep it open so long as not too much. Something nice to reward and celebrate 57 years of nationhood. Pick a good caterer.
CD: OK. I know what to do. Will send you a proposal next week. I think we get this going on the last Friday of this month. Will provide details.
JK: Great, it's now 4:20pm. So we agreed on creating a new corporate video, supporting SkillFuture Singapore's Career Transition Programme and organising a National Day celebration. Details will be in our minutes. (JK looks at you and says) Our secretary will send us the minutes soon. Thank you for the productive meeting.
All: OK boss.
