Every six months, the company creates a newsletter in both paper and electronic form for distribution to customers who have agreed to receive it. You have collected most of the information you plan to include in the newsletter. Now you need to organize the information into stories and then format the newsletter for publication as a PDF file that can be printed or attached to an e-mail.
Follow the steps below to organize and format the content of a consumer newsletter.
1. Open the file Practice_10.docx located in the Project.10 folder included with your Data Files and then, to avoid altering the original file, save the document as Island Time Books Newsletter in the same folder. This document includes two pictures along with notes that can be adapted as stories to be included in the one-page newsletter: three news items about upcoming events, one profile on Yolanda Larch, and filler information about Classic Travel books.
2. Read the document and note where you will need to rewrite the notes as prose appropriate for a newsletter. For the Spring Season Events story, do the following:
a. Use the information in the bullet points to write a paragraph for both the An Evening with Bart Grant and Book Launch of Greenways events. Add additional information if you wish.
b. Use the information in the bullet points forYolanda Larch to write two paragraphs—
one describing her background and another describing her upcoming appearance at Island Time Books.
3. Below the Yolanda Larch profile, create a SmartArt diagram using the Vertical Block List style in the List category that lists all four events and their dates as shown in Figure 10-14. To add a fourth row, click the May 3, 2011 text box, click Add Shape, click Add Shape After, and then click Add Bullet.
4. Apply the SmartArt style and color of your choice, and then verify the text wrapping for the object is set to In Line with Text. You will size and position the SmartArt diagram once you have completed formatting the newsletter.
5. In the Classic Travel Books section, apply the picture style of your choice to the picture of the Eiffel Tower and then change the text wrapping to Square. You will size and position the picture once you have completed formatting the newsletter.
6. Select the picture at the top of the document, apply theWashout color effect and Behind Text text wrapping, and then size and position the picture so that it appears behind theWordArt object containing the name of the newsletter (Island Time Books).
7. Add drop caps to the first letter of the paragraph below the Spring Season Events heading and the first paragraph below the heading for Yolanda Larch’s profile. Set the lines to drop to 2.
8. Select all the text from Spring Season Events to the end of the document, then set columns using the Two format and .3” spacing between columns.
9. In Two Pages view, adjust the sizes and positions of the graphic elements and text so that the entire newsletter fits attractively on one page. Note that you will need to remove the Before Paragraph Spacing from the headings as needed.
10. Type your name where indicated at the bottom of the document, save the document as a PDF file using the same name as the Word document, and then exit Adobe Reader.
11. From Word, save the document, and then print a copy
